What to include on an invoice.

A complete invoice is easier to approve and pay. Include these details to avoid questions and delays.

  • Your business details

    Add your name, address, email, phone, and tax number. This tells the customer who they are paying.

  • Your customer’s details

    Add the customer’s billing name and address. For a business, include the company name.

  • A unique invoice number

    Give every invoice its own number. Use a clear sequence and never reuse a number.

  • Issue date and due date

    Show when you sent the invoice and when payment is due. Use a real date, not only “due in 14 days.”

  • Clear line items

    List each product or service on its own line. Add the quantity, unit price, and total.

  • Subtotal, tax, and total

    Show the subtotal and tax as separate lines. Name the tax used in your country, such as GST, VAT, or sales tax.

  • Discounts, shipping, and deposits

    Show anything that changes the final amount. The customer should be able to check every part of the total.

  • Payment details and terms

    Explain how to pay you. Add bank, UPI, PayPal, Wise, or payment link details. You can also add notes or late payment terms.

A request for payment after work is done or goods are sent. It includes an invoice number, due date, and amount owed.
Receipt
Proof that payment has already been made. It confirms what the customer paid.
Quote or estimate
A proposed price sent before work begins. It may include an expiry date, but no payment is due yet.
